Terms or Conditions of Hire

 

CONDITIONS OF HIRE OF THE OWLSMOOR CENTRE

 

The premises shall not be used for any purpose other than that stated on the booking form.

 

Smoking is not permitted anywhere on the premises

 

Alcoholic beverage must either be supplied by the hirer or guests free of charge or are sold by a License Holder approved by the Local Authority.

No person under the age of 18 is permitted to drink Alcohol on the premises.

The hirer must be present for the duration of the agreed hire period.

The period of hire shall be the times agreed on the booking form and paid for.  Hirers can gain access to the building at the agreed time and must vacate the building at the finish time.  Failure to do so will incur a penalty from the deposit.

Any damage to the buildings, fixtures, fittings and other property will result in the withholding of part or all of the deposit

No fixings or markings shall be made to the floor, walls, curtain, windows or ceiling without prior consent from the management. Approved fixings must be undertaken with WHITE TACK ONLY and not any other type of fixing.

Any White Tack used must be collected up and disposed of at end of hire.

Bouncy Castles are permitted with any liability being covered by the hirer.  Due to the ceiling height there is a maximum permitted height of 10 feet or 3 metres.

Smoke Machines are not permitted due to the sensitivity of the Fire Alarm System

Any electrical equipment used in the hall must be operated with a circuit breaker (RCD)

Candles or naked flames are not permitted on the tables.

All food and Drink intended for consumption on the premises must be prepared off site or in the Centre kitchen.  .  Under no circumstances must any preparation or serving be undertaken other than in or from the Kitchen servery. A water heater in the kitchen will make up to 100 cups of beverage.

Other equipment or furnishings not provided by the Centre will be at the expense of the hirer

The maximum number of people permitted in the Centre under our license is 150

The Centre must be left clean and tidy with tables and chairs stacked in the alcoves without Emergency Exits.  Chairs should be stacked 10 high max.   Hirers should bring black bin bags and cleaning materials as these are not provided. Any rubbish generated during the hire needs to be taken away by the hirer.

Vehicles must use the car park to the rear of the Centre.  Vehicles with items to unload may park temporarily adjacent to the front entrance.

In the event of a Fire someone should call 999 and everybody should evacuate the building as quickly as possible, gathering in the rear Car Park.  Do not re-enter the Centre until it has been declared safe to do so by the management or authorities.

Commercial hiring will only be allowed providing the sale of goods does not encroach on those supplied by local traders

Cancellations   No penalty will be incurred if the hire is cancelled with a minimum of 14 days notice.  If cancellation is notified less than the 14 days then a £30 deduction will be made from the hire fee to cover loss of revenue from other potential hirers. 

Liability   The centre accepts no responsibility for loss or damage to any vehicle, clothing, jewellery, money or other property of the hirer or any other person using the hall as a guest or otherwise in connection with the hiring.   When music or amplification of music is part of the entertainment, the volume of sound MUST be kept within reasonable limits and cease at 11.00pm to prevent local residents being unduly disturbed.  The Centre reserves the right to cancel or transfer any booking without responsibility for any claim for expenses incurred by the hirer.  The Centre will Endeavour to give adequate notice of any such cancellation.

Safeguarding Policy      If the activity for which the Premises are hired involves children and/or vulnerable adults the Hirer must comply with Section 11 of the Children’s Act 2004, The Berkshire Child Protection Procedures, The Home Office Code of Practice Safe From Harm and any conditions required by the Office for Standards in Education (Ofsted).  The Community Association reserves the right to exclude from the Premises any organisation that fails to comply with this requirement and FOR THE AVOIDANCE OF DOUBT it is the responsibility of the organisers of the activities concerned to ensure compliance with these requirements so that only fit and proper persons have access to young children and/or vulnerable adults and that such persons should at all times be in attendance of children and/or vulnerable adults who are on the Premises for the activities concerned.

 

Additional Information.

Please ensure that you leave the hall in a clean and tidy condition ready for the next hirer

All rubbish generated by your event  needs to be taken away with you from the premises.

Time should have been allowed in your booking for setting up tables, DJ, Entertainer at the start and for cleaning everything used and restacking of tables and chairs after being wiped down.

It is suggested that you bring the following with you if food and drink is to be consumed during the hire period.

.         dishcloths.     cleaning cloths.   washing up liquid.      Tea towels.          RUBBISH BAGS 

BANNERS & DECORATIONS ETC….    Absolutely NO Pins, glue, adhesive pads or sticky tape are to be used.  White Tack only and this has to be removed when you tidy up

If you open any fire doors then please ensure that they are securely closed before you leave the Centre by the main entrance

SAFETY FIRST…

Make yourself aware of all of the fire exits in the building..there is a floor plan on the main notice board in the lobby.

Do not stack Chairs or Tables in the way of the Fire Exits during or after your hire session.

THE DISPOSAL OF RUBBISH IN THE SURROUNDING AREA OF THE CENTRE OR IN LOCAL RESIDENTS BINS OR PREMISES IS REGARDED AS ‘FLY TIPPING’ BY THE COUNCIL AND WILL INCUR A LARGE FINE.

NO PAINTS, POWDERS OR OTHER SUBSTANCES MAY BE USED IN THE MAIN HALL AS THEY DAMAGE OUR WOODEN FLOOR

DEPOSITS WILL BE WITHELD IF THE FLOOR REQUIRES SPECIAL CLEANING AFTER AN EVENT
